تفاصيل الوظيفة:
Executive secretary (office Manager)
To provide comprehensive and confidential administrative support and assistance to the Managing Director and to assist with all Activities and projects.
Key Responsibilities
1.Support the MANAGING DIRECTOR to manage his workload and activities.
2.Coordinate and maintain the diary of the MANAGING DIRECTOR including organizing of all appointments, meetings, travel arrangements, attendance at conferences and seminars.
3.Receive, review and prioritize all correspondence for the MANAGING DIRECTOR, draft and edit substantial correspondence and reports, including matters of a highly confidential nature.
4.Monitor, respond to and re‐direct emails as appropriate.
5.Maintain a filing system for MANAGING DIRECTOR, which enables the timely retrieval of documents.
6.Monitor and maintain the “work in progress” to ensure timely follow up and completion.
7.Identify, anticipate and prepare information requirements of the MANAGING DIRECTOR for meetings, appointments, presentations etc and follow up inward and outwards requests for information, outstanding reports, and correspondence.
8.Provide a personal and telephone interception service and manage interruptions to support the effective time management.
9.Liaise with and greet staff, members of the community, visitors, associates and VIPs.
10.Maintain an overview and monitor budget income and expenditure through liaison with Finance.
11.Act as secretary to designated project groups and committees, meetings, including preparing agendas, and drafting minutes.
12.Maintain annual leave diary for Employees.
13.Process and co‐ordinate the ordering of goods for the company.
14.Reflect and embed University vision, mission, values and goals when exercising the responsibilities of this position.
15.Undertake the responsibilities of the position adhering to:
1.Equal Opportunity and anti‐discrimination legislation and requirements;

3. Occupational Health and Safety (OH&SWink legislation and requirements.
Level of Responsibility
Level of Supervision and Independence
The Personal Assistant to MANAGING DIRECTOR operates under the general direction of the board of directors and interacts with all areas and levels of staff within the Company and relevant external parties, which often require discretion and confidentiality.
Position/Organizational Relationships
The Personal Assistant to MANAGING DIRECTOR (office Manager), reports directly to the MANAGING DIRECTOR.
Training and Qualifications
Completion of a relevant diploma in Office Management with relevant work related experience
Key Selection Criteria
1.Applicants must demonstrate they are able to undertake the inherent responsibilities of the position as contained in the position description and are able to meet the following Key Selection Criteria:

3.Demonstrated ability to plan, organize and priorities work for self and MANAGING DIRECTOR in an environment with multiple and conflicting demands.
4.Relevant experience in a secretarial/administrative/executive assistant role.
5.Ability to draft and format complex written documents.
6.Ability to work under pressure with conflicting priorities, meet strict deadlines and pay attention to detail.
7.Well‐developed communication, interpersonal and advocacy skills.
8.Ability to exercise initiative and work both independently and co‐operatively as required.
9.Ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly.
10.Accurate word processing skills and a broad knowledge of a range of computer packages, including, Word, Excel, PowerPoint, Email, Internet. The ability to audio type and use shorthand to take dictation is highly desirable
