تفاصيل الوظيفة:
Executive Secretary
• Handling all the administrative activities.
• Design and implement office policies and procedures for further approval and orient employees with it to ensure smooth work operation.
• Arrange, administer maintaining office equipment to ensure smooth work operation.
• Design & implement filling systems to ensure that all information needed are available upon request.
• Act as liaison between management and customers to ensure smooth work operation.
• Arrange traveling reservation and ticketing to ensure proper work proficiency.
• Arrange and attend meetings to ensure availability of supplies and facilities plus taking the meeting minutes.
• Arrange for visits and welcome visitors and act as an escort to present appropriate company image.
• Handle highly sensitive, confidential and political issues concerned their department to keep it to be filled in a proper way.
• Performs secretarial duties, such as typing, the taking of dictation, telephone reception, fax preparation and sending, the arrangement of travel schedules and formalities, appointment arranging, filing, document copying, and other secretarial duties, as required
• Drafts correspondence and deals with customer inquiries.
• Prepares expense reports, performs record keeping and compiles reports.
• Facilitates teamwork and provides administrative and secretarial assistance to all organizational units and individuals in the office as required.
• Undertakes special projects, as required.
• Setup accommodation arrangements for company’s International employees and visitors, handle flight reservations / confirmation if necessary.
• Manage daily calendar and coordinate scheduled appointments.
• Coordinate the flow of information both internally and externally
• Conduct searches to find needed information, using such sources as the Internet.
• Manage office space, research, price, and purchase office furniture and supplies.
• Ensure protection, security, effective transfer of files and records.
• Ensure personnel files are up to date and secure.

Skills
• Fluent English with good speaking of other languages such as French.
• Excellent computer skills: Knowledge of Microsoft Office and easily works with Excel sheets and power points, and be able to learn new software applications.
• Visibility of work requires attention to details, excellent organizational skills, and discretion with confidential information.
• Presentable and hardworking.
• Able to respond to e-mail at a highly proficient level also respond to phone calls anytime when work demands.
• Involved with a lot of extracurricular activities in university.
• Challenge taker.
• Very good communication skills.
• Knowledge of office administration.
• Ability to maintain a high level of accuracy in preparing and entering information.
• Excellent interpersonal skills, effective verbal and listening.
